Terms & Conditions

We want the photography experience to be simple, enjoyable and clear from the moment you book us.

These terms explain how we work, what you can expect from us and what we need from you to deliver the best possible experience.

By paying your booking fee, you confirm that you have read and accepted these terms.


1. Booking Your Date

Your wedding date is only considered officially booked once the required booking fee has been paid and the booking has been confirmed by Kingkwekuananse Photography.

The booking fee is non-refundable because your date is reserved exclusively for you and we turn away other enquiries for the same date.

The remaining balance must be paid before the wedding date, as stated on your invoice or booking agreement.

Dates are not held without payment.


2. Our Team

Kingkwekuananse Photography operates as a photography team.

When you book us, you are booking the Kingkwekuananse Photography team and not necessarily Kwasi Asante Agyapong personally.

The number of photographers, videographers or other team members assigned to your wedding will depend on the package you have selected.

Where necessary, we may assign another experienced member of our team to your wedding while maintaining the same creative direction and professional standards.

If you specifically require Kwasi to personally photograph your wedding, this must be agreed upon and confirmed at the time of booking.


3. Coverage Time

Your package includes the number of hours stated on your invoice or selected package.

Coverage begins at the agreed start time and ends when the contracted coverage period is completed.

Extra coverage can be requested on the wedding day, subject to team availability, and will be charged at our current overtime rate.

We recommend building enough coverage time into your schedule to allow for delays, traffic, outfit changes and unexpected changes to the programme.


4. Wedding Day Schedule

We work from the timeline provided by you or your wedding planner.

To get the most from your photography coverage, we ask that important photography moments such as bridal preparation, family portraits, couple portraits and group photographs are planned into the schedule.

If significant delays reduce the amount of time available for photography, we cannot guarantee that every planned photograph will be captured.

Our team will always do our best to adapt and prioritise the most important moments.


5. Travel Outside Accra & Tema

Our standard wedding packages cover events within Accra and Tema.

Weddings and events outside this area attract a Travel & Operations Fee.

This fee covers the additional time, transportation, logistics and operational costs required for our team to travel to your location.

For weddings outside Accra, the client is responsible for:

  • Transportation for the team (Flight or Private Car or Fuel)
  • Accommodation where an overnight stay is required
  • Feeding for the team during extended wedding coverage or travel
  • Any additional travel-related expenses agreed before the event

Where preferred, Kingkwekuananse Photography can arrange these logistics and include the cost in the final invoice.

Travel arrangements must be confirmed before the wedding date.

For destination weddings outside Ghana, all travel, accommodation, transportation and related logistics will be discussed and quoted separately.


6. Meals & Breaks

For full-day weddings and extended coverage, the team will require food be provided by the couple.

Where the wedding schedule does not allow the team to leave the venue, the client or planner should arrange meals for the team at the venue.

We do not expect the photography team to leave the wedding during important moments to find food.


7. Delivery & Turnaround Time

We understand that couples are excited to see their photographs.

Sneak peeks are usually delivered within 48 hours after the wedding where possible.

Full wedding galleries are normally delivered within 4–6 weeks.

During peak wedding seasons or for weddings involving a large number of events, photographs, albums or video deliverables, delivery may take longer.

If you require an accelerated delivery, an Express Service may be available at an additional fee.

The agreed delivery timeline applies from the completion of the wedding or final contracted event.


8. Image Selection & Editing

Our team selects the photographs that best represent the story of your wedding.

You will receive the number of edited photographs stated in your package.

We do not guarantee that every photograph taken during the wedding will be delivered.

Images containing technical issues, duplicates, closed eyes, unflattering expressions, test shots or other unusable frames may be excluded.

Our editing style is part of the Kingkwekuananse Photography experience.

We do not provide unedited RAW files.

Where unedited JPEGs are included in your package, these are supplied as stated in your package details.

Requests for extensive changes to our standard editing style or additional retouching may attract an additional fee.


9. Online Gallery

Your final photographs will be delivered through an online gallery.

Clients are responsible for downloading and safely backing up their photographs once the gallery has been delivered.

Online galleries are hosted for a limited period.

Unless otherwise stated, galleries may be removed after 1year.

We strongly recommend keeping at least two personal backups of your wedding photographs.


10. Albums, Prints & Physical Products

Albums, frames and other physical products are only included where specifically stated in your selected package.

Album designs will be prepared using photographs from your final gallery.

Where client approval is required, delays in approving an album design may extend the delivery timeline.

Physical products are subject to the production timelines of our suppliers.


11. Behind-the-Scenes Content & Social Media

We regularly create behind-the-scenes content while documenting weddings.

This may include photographs or short videos of our team working, wedding preparations, venue details, couple portraits and other moments from the day.

This content may be used on our website, Instagram, YouTube, TikTok, advertising, portfolio and other Kingkwekuananse Photography platforms for marketing, educational and promotional purposes.

We will ask for your permission regarding behind-the-scenes content where required.

If you do not want behind-the-scenes content of you or your wedding shared publicly, please inform us before the wedding.

We will respect reasonable privacy requests.


12. Use of Your Wedding Photographs

Kingkwekuananse Photography retains the copyright to photographs created by our team.

You receive personal, non-exclusive rights to download, print and share the photographs for personal use.

You may not sell, license or commercially use the photographs without our written permission.

We may use selected photographs from your wedding for our portfolio, website, social media, competitions, publications, advertising and other promotional purposes, subject to any privacy or usage agreement made with you.


13. Privacy Requests

If you require your wedding photographs to remain private and not be used publicly, please discuss this with us before booking or as early as possible before the wedding.

Any agreed privacy restrictions should be confirmed in writing.


14. Cancellation & Rescheduling

If you cancel your booking, the booking fee remains non-refundable.

If you need to change your wedding date, we will do our best to accommodate the new date, subject to our availability.

A date change is not automatically guaranteed.

If the new date is unavailable, the booking will be treated as a cancellation.

Any additional costs caused by a change in date, location or coverage requirements may be charged separately.

15. Changes to Your Package

Your package can be upgraded or adjusted where possible.

Any additional photographer, videographer, coverage hours, albums, reels, retouching, drone coverage or other services must be agreed upon and paid for according to the applicable rates.

Changes made close to the wedding date are subject to team and supplier availability.

16. Client Responsibilities

You are responsible for providing accurate information about your wedding, including:

Wedding dates

Locations

Ceremony times

Reception times

Number of events

Expected guest numbers

Important family members

Special photography requests

Any restrictions imposed by the venue or religious institution

You should also inform us of any important cultural, religious or family considerations that may affect photography.

We work closely with couples and planners, but we cannot be responsible for missed photographs caused by information not provided to us.

17. Family & Group Photographs

We recommend preparing a family photograph list before the wedding.

A nominated family member or member of the bridal party should assist in gathering people for family photographs.

This helps us spend less time looking for family members and more time documenting your wedding.

18. Venue & Third-Party Restrictions

Some venues, churches, event spaces or officiants may have restrictions on photography or videography.

We are not responsible for limitations imposed by third parties.

Where possible, we will work within the venue’s rules while still providing the best coverage possible.

19. Unforeseen Circumstances

We understand that weddings can involve unexpected situations.

Traffic, weather, venue restrictions, changes to the wedding programme, delays, illness, equipment failure or other circumstances outside our reasonable control may affect coverage.

In such situations, our team will make reasonable efforts to continue providing the service and document as much of the wedding as possible.

20. Equipment & Backup

We use professional equipment and take reasonable precautions to protect your photographs.

Our team may carry backup cameras, lenses, memory cards and other equipment depending on the assignment.

While we take extensive precautions, no photographic service can guarantee against every possible technical failure, theft, accident or circumstance beyond reasonable control.

21. Creative Style

When you book Kingkwekuananse Photography, you are booking our established visual style.

Our work is clean, classy, natural, modern and photojournalistic.

We will guide you throughout the wedding and couple portraits, but we also allow genuine moments to unfold naturally.

Specific reference photographs can be shared with us for inspiration, but we cannot guarantee an exact recreation of another photographer’s work.

22. Communication

Clear communication helps us give you the best experience.

We ask that important changes to your wedding schedule, locations, coverage or package are communicated to us as early as possible.

Final instructions and changes should be confirmed through the agreed communication channel.

23. Agreement

These Terms & Conditions form part of your photography agreement with Kingkwekuananse Photography.

By paying your booking fee, you confirm that you have read, understood and accepted these terms.

Your invoice, package details and any written agreements made specifically for your wedding will take priority where they contain terms that differ from these general conditions.
